Policy & Process Updates

Promotion and Tenure Clock Waiver Extended

In response to faculty concerns, automatic eligibility for promotion and tenure (P&T) clock waivers is extended to the 2026–27 academic year.
Key Details:

All meritorious faculty scheduled for mandatory review in AY 2026–27, with no more than three prior waivers, may defer review to AY 2027–28 (default option) or opt to proceed earlier
Unit leaders must confirm each faculty member's preference and initiate any waivers in Workday by June 30, 2026

Sabbatical Leave Updates

Immediate Action: Processing for September 16 Start Dates
For Units with Faculty Beginning Fall Sabbaticals
Your Role in Workday Setup: Placing faculty on Sabbatical Leave in Workday ensures their pay accurately reflects approved support and timing.

Step 1: Process Leave Entry

  • Use the approved fall sabbaticals spreadsheet (including start/end dates and salary support percentages)
  • Enter sabbatical leave in Workday
Step 2: Verify FTE Accuracy
  • Academic Partners: Confirm FTE matches salary support percentage
  • Include any grant fund supplements in calculations
  • If FTE adjustments are needed: Use "Leave of Absence FTE Change" reason code
  • Critical: Ensure effective date matches sabbatical start date
This process protects both your faculty and your unit's budget accuracy.

2026–27 Sabbatical Application Process: RPT Template Setup

As of September 2, the foundational templates for the 2026–2027 sabbatical year are ready in Interfolio Review, Promotion, and Tenure (RPT).

Available Templates:
  • APF Foundational Sabbatical Template_DEP (for departmentalized units)
  • APF Foundational Sabbatical Template_UNDEP (for undepartmentalized units)
  • APF Foundational Sabbatical Template_Librarian

Process Steps:
  1. Duplicate the appropriate foundational template for your unit
  2. Add any local-level requirements
  3. Replace the school/college/campus (SCC) level committees
  4. Departmentalized units: Have admins duplicate the SCC level template, add local requirements, and replace the committee for department-level Case Review Steps
  5. Once templates are complete, initiate cases on APF's website for eligible applicants
  6. Initiated cases will appear in RPT within 2 hours
  7. Begin working the case and share with the applicant

Office Hours & Support Services

Updated Walk-In Service Hours for International Scholar

ISO has new walk-in service hours for Autumn Quarter, effective September 24–December 12, 2025:
  • Mondays: 3–4 p.m.
  • Tuesdays: 11 a.m.–noon
  • Wednesdays: 3–4 p.m.
  • Fridays: 11 a.m.–noon
Important Notes:
  • Photo ID required to pick up documents
  • Walk-in hours limited to brief questions, DS-2019 travel signatures, and document pick-up/drop-off
  • For longer inquiries or discussions, ISO staff are available by appointment only outside these hours
